How Long Do You Actually Have to Keep Clients’ CPBAO Records? Ontario Rules for Independent Practitioners

CPBAO Records

Most Board Certified Behavior Analysts (BCBAs) operating in Ontario assume the magic number for record retention is seven years. CPBAO records are different so if you serve a pediatric population, relying on that baseline can expose your independent practice or clinic to serious legal liability.

When you’re trying to scale your clinic with simplicity, the last thing you want is to be bogged down by regulatory guesswork. The real answer to retention depends entirely on whether your client is a minor—and getting it wrong can result in severe compliance infractions in both directions.

The Baseline: The Adult Standard vs. The Pediatric Exception

Under the Personal Health Information Protection Act (PHIPA) and the College of Psychologists and Behaviour Analysts of Ontario (CPBAO) Standards of Professional Conduct, health information must typically be retained for at least 10 years from the date of the last entry, or 10 years from the day the client turns 18 if they were a minor when treatment concluded.

For independent practitioners in Ontario building a pediatric caseload, understanding retention of CPBAO records timelines is critical:

  • If your client is an adult (18+): Keep records for a minimum of 10 years following their final session.
  • If your client is a minor: Keep records for 10 years past their 18th birthday (meaning until they turn 28).

The Math That Matters: If you wrap up a behavior intervention plan for an 8-year-old child, you cannot purge those records in seven, or even ten years. You must securely store that data until they turn 28. That is a 20-year retention cycle for a single client!

The Operational Burden: Paper Binders vs. Clunky Systems

Managing two decades of raw data, ABC sheets, frequency graphs, and session notes creates a massive operational bottleneck for a growing team. If your clinic relies on physical paper binders, you face mounting storage costs and physical security risks. If you use non-specialized digital tools like basic spreadsheets, you risk catastrophic data loss and PHIPA security breaches.

On the other hand, switching to a massive, over-engineered legacy software platform penalizes your growing team with complex user flows and expensive per-user pricing. Your frontline therapists end up spending more time managing software toggles than executing clinical sessions.

Scale with Simplicity: Automating Record Retention

Your practice needs a secure ABA software solution that handles long-term compliance quietly in the background, allowing you to focus purely on clinical outcomes.

With robust software applications, data security and patient data protection are native to your workflow. The platform standardizes data collection, synchronizes clinical graphs in real time, and securely archives data files in full alignment with strict healthcare privacy standards. Instead of worrying about data deletion schedules or paying astronomical costs for inactive client archives, your practice can scale safely, knowing your digital infrastructure is fully secure.

Don’t let legacy files or complex CPBAO records retention timelines stall your growth. Transition to a streamlined system built specifically for practitioner-led teams.
